Job Description: The Development and Database Coordinator is responsible for maintaining the UWFH donor database, including gift and pledge entry, donor acknowledgment, reporting, and support for workplace campaigns and donor relations. The position also provides administrative support for board operations and assists with general office coordination.

The role involves significant donation processing, especially during peak campaign season, as well as office coordination and administrative support for the board of directors and its subcommittees.

Duties and Responsibilities:

  • Maintain the UWFH donor database (EveryAction), including routine updates, gift and pledge processing, reporting, and acknowledgments.

  • Record gifts received and work closely with the finance manager to reconcile gifts/pledge payments.

  • Identify and implement systems to ensure the integrity of the database.

  • Ensure data accuracy and produce reports as required.

  • Prepare acknowledgment letters and receipts for all gifts and donations.

  • Prepare mailing lists, letters, and other support for campaign solicitations (USPS and electronic).

  • Prepare database reports for United Way Worldwide (May & June).

  • Provide administrative support for board of directors meetings, including materials preparation and logistics coordination.

  • Prepare daily deposit and database batches for all checks, cash, and credit card gifts. Process checks through remote deposit, with occasional in-person bank deposits.

Job Requirements:

  • Bachelor’s Degree or relevant experience.

  • Microsoft Office suite and Google Workspace programs experience.

  • Proficiency with Microsoft Excel, including data management, basic formulas, and report formatting 

  • Exceptional attention to detail and commitment to accuracy.

  • Experience handling confidential information appropriately.

  • Ability to closely follow systems and protocols, while juggling multiple tasks and meeting deadlines.

  • Eagerness to take initiative, solve-problems and contribute positively to the work of the team.

  • Comfort and ease with technology, including donor databases, LLMs, and/or CRM platforms.

  • Comfort experimenting with new technologies, including AI tools, to improve efficiency and workflow.

  • Professional communication skills with a wide range of external stakeholders — including donors, corporate partners, and community members — via phone and email.
